JOB DESCRIPTION
More Solutions More Solutions is looking for Executive Secretary.
Responsibilities:
- Managing CEO's work calendar and sending reminders as necessary.
- Scheduling meetings for CEO & other executives and overall coordination with counter-parties as required.
- Coordinating traveling arrangements with travel agents and clients’ admin departments.
- Answering phones and routing calls to the relevant persons and taking messages.
- Receiving, filing and dispatching documents to relevant addresses.
- Ordering office supplies as per the requirements and overall administration & maintenance of office.
- Bank accounts opening and provision of relevant information.
- Preparation of cheques for salary and other expenses payment.
- Follow-up with clients for invoice payments and ensuring deposit of billing cheques in company accounts.
- Preparation of monthly attendance, salary, office expenses and CEO’s expenses summary sheet.
- Record keeping of all the counter party agreements, payments, deposits, invoices, payroll and other office data.
- Any other tasks assigned by CEO and other executives.
Requirements:
- Proficient in MS Office or back-office software
- In depth knowledge of office management and basic accounting procedures as well as technical vocabulary of relevant industry
- Familiarity with basic research methods and reporting techniques
- Excellent organizational and time-management skills
- Outstanding communication and negotiation abilities
- Integrity and confidentiality
